Disaster Claims Management

During disasters multiple emergency functions occur simultaneously, (notifications, crew mobilizations, emergency repairs, damage assessments, reporting to stakeholders, etc). It is most critical for Federal Disaster reimbursement to maintain streamlined communications and document management and disaster costs.

DP&O utilizes RecoveryEOC™ to track and manage all disaster related data, documents and costs. RecoveryEOC™ centralizes all critical data into one location for response and recovery processing, including asset inventory, labor, equipment, contractors, materials to facilitate damage assessments, disaster cost tracking, and disaster claims submittals.

  • Identification of expenditures eligible for reimbursement under FEMA categories A–G

    • DP&O’s professional staff is extremely experienced with FEMA Policy for eligibility criteria and negotiating those tough situations where FEMA denies eligibility.

    • Hidden costs are researched and exposed to produce the actual recovery dollar amounts for accurate claims submittal.

  • Records Documentation Management

    • All information from Incident Management (communication, mobilizations, repairs) thru Damage Assessments, and Recovery are maintained in a database to validate recovery efforts per FEMA requirements to support Federal (FEMA) claims reimbursement therefore preventing delays and or claims denials.

    • All records including damage assessments and FEMA PW forms, with submittals and aforementioned communications are stored in a database Per DHS, GAO, FEMA and State Audit requirements.

  • Claims Communications Management

    • All submittals deadlines, request for information, and communications between applicant, and FEMA or State during the Project Worksheet review and approval process will be maintained in a communications log which assist for successful close out and potential OIG audits.

  • Category “A” Debris Removal Claims Management

    • FEMA category A has special documentation requirements for debris eligible for removal, staging, reduction and disposal.

    • DP&O’s method ensures all debris removal will be reconciled daily between removal and disposal and identifies any potential discrepancies in order resolve issues quickly. All contracts, daily logs, and automated ticket reconciliation is maintained in the database for Category A items submittals including FEMA required information for leaners, hangers and stumps.

    • Debris Removal information with leaner, hanger and stumps removal is cross checked for compliance per FEMA reimbursement guidelines.
